Borealis Subscriptions

Borealis Subscriptions

1.0 Introduction

If you are the System Owner (typically this is the person who originally setup the system), you will be able to view the system subscription information. When the System Owner logs into Borealis they will see the Subscription menu item located at the bottom of the main menu which provides access to all the subscription information.

Note: Borealis is continually in development so your screen may not exactly match some of the screen shots displayed in this document.

2.0 Subscription Details

  1. Open a web browser and visit keri.aetheros.net
  2. Log into Borealis with your System Owner registered e-mail and password.
  3. The home screen will appear.
  4. Scroll to the bottom of the main menu and click on Subscription.

  5. The Subscription details will appear.

The subscription details screen displays the following information:

  • Storage Model - This indicates how system transactions are stored. By default each system retains one million transactions in cloud storage and these are deleted on a FIFO (First In First Out) basis. Optionally, you can change the storage to Pay-As-You-Go - the system will then keep all system transactions and the transaction charge will be for the amount of transactions created and stored.

Note: Pay-As-You-Go transaction storage requires your subscription to be monthly.

  • Subscription Frequency - By default, all Borealis subscriptions are yearly - so the
subscription charge will be for an entire year.

  • Next Billing Date - By default, this will be one year after the system was setup. However, there is the option of restarting the subscription (explained later in this document).

  • 2nd Retention Policy - By default this states 'Max allowed by storage blocks' - this indicates that if you have 1 storage block the system will retain 1 million transactions. If you use Pay-As-You-Go storage you can define how long events should be retained before they are deleted - this is where the defined duration would be displayed.

  • Next Subscription Total Price - The amount that will be charged at the next renewal date.
  • Discount - There is no discount for a 1 year subscription. Discounts are available for longer subscription terms (such as 2 or 3 year durations).
  • Credits - This is the amount of account credit available to pay for subscription items. If you do not wish to pay by credit card you can contact Keri's sales team and purchase account credit which will then be applied to the system and can be used to make payments.
  • Tax Exempt - Most installers and dealers will be tax exempt but to register tax exempt status for Borealis you must setup an Organization prior to creating your first system. Once the Organization and tax exempt status has been approved you can then create your first system and associate it with your Organization. All systems
created for that Organization will then be tax exempt and SaaS tax will not be applied to any subscription items.
  • Subscription Status - This should be showing as Active. When a system is created there is a setup period that is currently for 30 days and you will have full functionality during this time. If hardware and subscription items are added, but are not paid for during the setup period, the system will become temporarily suspended until the due payment has been made.

  • Licensed Readers - The total count of readers that are included in the subscription. This is the number of Entry readers. If you have Exit readers on the system they are not charged for and are listed separately.

  • Licensed Exit Readers - The total number of Exit readers on the system.

Note: NXT Exit readers are only supported on NXT-MSC (Mercury-Powered)
controllers. Exit readers also include PXL 1-door controllers (PXLs without an
SB-593 satellite board), where one door is controlled by 2 readers.

  • Licensed Hubs - The number of hubs added to the system. The hub communicates to the hardware and each hub supports a maximum of 32 doors of the same hardware type. Additional hubs are required if the system will exceed 32 doors or if the system consists of multiple hardware types.

Note: The maximum number of doors is not the same as the number of licensed readers. The number of reader ports on the controller count towards the door
capacity of the hub, whereas the Licensed Reader count is the total number of
readers currently added to the subscription.

  • Advanced Permissions - Indicates if the Advanced Permission option is enabled.

3.0 Advanced Permissions

The Advanced Permissions feature can be enabled from the details screen. Click the Advance Permissions button and the feature will be added to the shopping cart.

Advanced Permissions provides you with a more granular approach to assigning
operator permissions when multiple sites are being used. For example; you may
wish to assign an operator with the Super operator role to site 1 but a more
restricted operator role to site 2.

4.0 Restart Subscription

The system owner can change the renewal date of the subscription by logging into the
client on the new date that they wish to use as the renewal date - and then clicking on
the Restart Subscription button.

You will see a notification stating the new renewal date. If any subscription payment has already been made, you will receive a credit for the amount that has been paid in advance. The total amount of credit due (if applicable), will also be displayed.

5.0 Edit Auto Renew

By default, all Borealis systems are setup to auto-renew automatically and if a payment is made using a credit card you can select if that card will be used for the renewal payment. If you do not wish the system to auto-renew, click on the EDIT AUTO-RENEWAL button and then disable it.

6.0 View and Edit Payment Cards

Note: For your security, the Borealis user interface does not store the full credit card details, it just stores a secure token that is generated following a valid payment transaction.

When making a payment with a credit card you can select to save the card. Click on the Payment Cards tab to view all credit cards which have been saved to the user interface.

You can use a card's Actions menu to select if the card will or will not be used for the renewal payment.

7.0 View the Billing History

The System Owner can also view the billing history. Click the Billing History tab to view and download subscription invoices. An invoice is created whenever a payment is made.

Click the Download button located on the right and the selected invoice will be
downloaded to the client PC as a PDF document.

8.0 Price List

The price list page allows the System Owner to view the currently assigned subscription price list.

Assigned price list

The price list will display the current subscription price of readers plus any discounts that are available for longer subscription terms. For example; purchasing a subscription for 24 months will qualify for a 9% discount.

9.0 Subscription Emails

Subscription Emails allows the system owner to add additional recipients of invoice and subscription-related e-mails.

Note: Subscription Email recipients do not need to be added to Borealis as system
operators.

To add a new subscription email recipient, click on the Add CC Email Address button, enter the recipient's email address, then click the Save button.
